General Ledger
Key concepts, transactions, and exam traps for SAP General Ledger and FI configuration — the highest-weighted topic in C_TS4FI_2023.
Key Concepts
Chart of Accounts (COA)
Master list of GL accounts. Assigned to company code. One COA can serve multiple company codes; one company code uses exactly one COA.
Company Code
Smallest legal entity that produces a complete set of financial statements. Contains its own posting period variant, fiscal year variant, and currency.
Posting Period Variant
Controls which accounting periods are open for posting. Assigned to company code. Separate open/close for each period per account type (A, D, K, S, V...).
Document Type
Controls number range and account types allowed. E.g., SA (GL posting), KR (vendor invoice), DR (customer invoice). Cannot be changed after posting.
Field Status Group
Controls field visibility (hide / optional / required) on GL master data and posting screens. Assigned to GL account and reconciliation account.
Tolerance Group
Defines acceptable debit/credit differences for users and GL accounts. Tolerance for employees controls the max posting amount per document line.
Parallel Currencies
SAP S/4HANA supports up to 3 currencies per company code: local (LC1), group (LC2), hard (LC3). All postings are stored in all active currencies simultaneously.
Transaction Codes (T-Codes)
| T-Code | Description |
|---|---|
| FS00 | Create / change GL master record |
| FB50 | Post GL journal entry |
| FB03 | Display accounting document |
| FBL3N | GL account line item report |
| OB52 | Open / close posting periods |
| OBY6 | Assign COA to company code |
Key Rules to Remember
1 company code → 1 COA (mandatory) + 1 group COA (optional)
Fiscal year variant controls number of periods (max 16: 12 normal + 4 special)
Document number ranges: internal (system assigns) vs external (user enters)
Cross-company code postings create one document per company code automatically
Config Paths (SPRO)
SPRO → Financial Accounting → Financial Accounting Global Settings → Company Code
SPRO → Financial Accounting → GL Accounting → Master Data → GL Accounts
SPRO → Financial Accounting → GL Accounting → Business Transactions → Open Item Clearing
Exam Traps — Common Mistakes
The COA assigned to the company code and the 'group COA' are different things — the group COA is optional and used for consolidation only.
Posting period variants are assigned to company codes, not to COAs. Multiple company codes can share one variant.
A GL account marked as 'open item management' must be cleared explicitly — outstanding items are not automatically cleared at year-end.
Reconciliation accounts (used by AP/AR/AA subledgers) cannot be posted to directly — only indirectly via vendor/customer/asset postings.
